Privacy Policy

Sumitomo Global Logistics Co., Ltd. (SGL) aims, as a general logistics company, to provide customers with superior logistics services and define relationships of trust with customers (customer satisfaction) and compliance with laws and ordinances as top priority management policies. In order to practice these, we have defined the acquisition of trust through correct and appropriate privacy protection and management as a basic policy for privacy protection, and we will carry out the actions set out below in order to achieve the full implementation of the privacy protection and management system.

  1. 1.  We will appropriately acquire, use and offer personal information in consideration of operations such as documentation in commissioned logistics operations, transport, mail order delivery, sorting, storage and other arrangements in logistics, and their scale.
  2. 2.  We will specify the purposes of acquiring, using and offering personal information and observe the laws and ordinances pertaining to personal information, guidelines formulated by state governments, and other norms.
  3. 3.  For the purpose of privacy management, we will appoint a personal information management representative and endeavor to ensure proper management and the prevention of privacy leakage to outsiders. We will take appropriate and reasonable safety measures and otherwise completely prevent unauthorized connection from outsiders and the loss, destruction, falsification and leakage and other hazards of personal information, and employ swift remedial measures against risks of incidents.
  4. 4.  We will handle personal information solely to the extent necessary to fulfill the purposes of use while paying full attention in order not to infringe your rights. We take necessary measures not to perform the handling except the identified purposes of use.
  5. 5.  We will not disclose or offer your personal information to any third party other than our contractors without your consent, except in any case that falls under cases specifically stipulated by any law, ordinance or other standard.
  6. 6.  We will deal properly with complaints and inquiries with regard to the handling of personal information.
  7. 7.  We will continuously improve the privacy protection and management system in accordance with future changes in circumstances.
  8. 8.  In the event of the leakage of your personal information, we will endeavor to immediately inform you of the facts and take other actions in accordance with laws, ordinances and other rules.
  9. 9.  We will set a period for storing your personal information that is necessary for the purposes of use and delete your personal information without delay after the lapse of the storage period or after the fulfillment of the purposes of use, except in any case that falls under the cases specifically stipulated by any law, ordinance or other standard.
  10. 10. We may revise this privacy policy as necessary. In this event, its latest version will be published on our website.

Handling of Personal Information

This notice is to explain the acquisition, use and other handling of personal information retained and acquired by Sumisho Global Logistics Co., Ltd. (hereinafter, “we,” “us,” etc.) in accordance with Japan’s Act on the Protection of Personal Information.


  1. 1. Our attitude toward the protection of personal information

We will respect the philosophy behind the Act on the Protection of Personal Information and, in order to pursue it, we will establish and put into effect the Privacy Policy and the Basic Rules on Protection of Personal Information. We will also handle personal information appropriately under the control of the personal information management representative.
We will implement tight security measures to prevent the leakage, loss or damage of personal information acquired or received from you. We will provide education to and perform supervision for the protection of personal information with regard to our executives, employees and other personnel engaged in our business operations to strictly manage personal information under our ownership.

  1. 2. Method of acquisition of personal information and specification of purposes of use

Prior to asking you for personal information, we will, in principle, specify the purposes of use, give notice of the necessary information and obtain your consent.

We will not handle your personal information for any purpose other than the purposes of use specified without obtaining your consent. When asking you for personal information, we will not acquire your personal information if you do not grant us consent. In this event, the services we offer to you may be impaired.

In the event of acquiring your personal information directly from you in writing or on the website, we will acquire it for the purposes of use specified below and handle it to the extent of the purposes of use, except where the purposes of use are evident from the situation where the information is acquired or where no notice or publication of the purposes of use is required by laws and ordinances.

We will not make any joint use of personal information with any other company.

  1. 4. Outsourcing of handling of personal information

We may outsource the handling of personal information to the extent necessary for the fulfillment of the purpose of use thereof.
In this event, we will oblige the contractor to protect personal information to ensure strict management under our appropriate supervision.

  1. 5. Offering of personal information to third parties

We will put your personal information that we have acquired under appropriate control and never offer it to third parties, excluding those companies making joint use and contractors, without obtaining your prior consent.
However, please note in advance that we may offer your personal information to third parties solely to the necessary extent in the cases where it is particularly necessary, as set out below.

(1) Your consent is obtained in advance after specifying the following:
a) Name of business operator
b) Name, organization and contact information of the personal information management representative
c) Purposes of use
d) Cases where the offering of personal information to third parties is presumed

  • Items of personal information to be offered
  • Type and attributes of the person or the organization to which the personal information is to be offered
  • Existence of a contract on the handling of personal information, if applicable

  • (2) Outsourcing of the handling of your personal information in whole or in part to the extent necessary for the fulfillment of the purposes of use specified

    (3) Provision of personal information pursuant to laws and ordinances

    (4) The provision of your personal information is requisite to the protection of human life, health or property in a situation where it is difficult to obtain your consent.

    (5) The provision of your personal information is particularly requisite to the improvement of public hygiene or to the promotion of the sound development of children in a situation where it is difficult to obtain your consent.

    (6) We need to cooperate with any national governmental organization, any local government or any party commissioned by any of these entities in the accomplishment of work stipulated by laws and ordinances in a situation where the acquisition of your consent could pose an obstacle to the accomplishment of the work.

    1. 6. Measures for safety management of personal information

    We protect the personal information we hold from leakage, loss or damage by providing education to employees, taking organizational measures such as the appointment of a personal information management representative, physical preventive measures against theft and other crimes, and technological preventive measures to deter unauthorized retrievals using networks in accordance with laws, ordinances, guidelines formulated by state governments, other norms and our internal rules.

    The security control measures taken by the Company are specifically as follows

    (Formulation of Basic Policy)

    In order to ensure the proper handling of personal data, we have formulated a basic policy regarding "compliance with relevant laws, regulations, guidelines, etc." and "contact for handling questions and complaints.

    (Establishment of Rules for Handling Personal Data)

    For each stage of acquisition, use, storage, provision, deletion/disposal, etc., the Company has established rules for handling personal data, including handling methods, responsible persons/persons in charge, and their duties.

    (Organizational Safety Control Measures)

    (1)In addition to appointing a person responsible for the handling of personal data, the Company clarifies the employees who handle personal data and the scope of personal data handled by such employees, and has established a system for reporting to the person responsible in the event that a violation of the law or handling regulations is detected or any sign of such violation is detected.

    (2) Regular self-inspections and internal audits are conducted on the status of personal data handling.

    (Personnel Safety Control Measures)

    (1) Regular training is provided to employees on points to keep in mind regarding the handling of personal data.

    (2) Items concerning confidentiality of personal data are stipulated in the employment regulations.

    (Physical security control measures)

    (1) Measures are taken to prevent unauthorized access to personal data.

    (2) Measures are taken to prevent theft or loss of equipment, electronic media, and documents that handle personal data, as well as to prevent personal data from being easily discovered when such equipment, electronic media, etc. are carried, including during transportation within the business site.

    (Technical safety control measures)

    (1) Access control is implemented to limit the scope of persons in charge and the personal information database, etc. handled.

    (2) A system is in place to protect the information system handling personal data from unauthorized external access or unauthorized software.


    1. 7. Procedures for responding to requests for the notification of the purpose of use and the disclosure of personal information and others

    If you wish to request notification of the purpose of use, disclosure of personal information (including disclosure of records of provision to third parties), correction, addition, deletion, discontinuation of use, deletion or discontinuation of offering to third parties, please contact our privacy protection helpdesk. However, please note that we are unable to respond it is limited only to your own personal information among the personal information under our ownership.
    And we are unable to respond to any request concerning personal information handling that is outsourced to us or other personal information regarding which we have no authority to carry out the action requested.
    If there are any reasonable grounds for us to decline your request, we will properly provide an explanation of these.
    Please also note that your request needs to be filed using our designated form, that you will be asked to cooperate in our check on whether the requesting person is identical to the person associated with the personal information (for example by producing a copy of a driving license or other identification document together with the form) or his or her proxy, that if the request is filed by the proxy, a letter of proxy or other material that identifies the requesting person as the proxy needs to be attached to the form, and that it takes several days to retrieve the personal information associated with the request and to make preparations for appropriate explanations related to it.
    At a later date, our privacy protection helpdesk staff will telephone you and respond to you after undertaking personal identification over the phone.
    The identification document will be discarded not later than six months after the response in accordance with our regulations. No fee for the service is incurred.
    If you have an inquiry on our handling of personal information, please send it in writing to our privacy protection helpdesk. We are afraid that we are unable to receive direct visits for requests or inquiries.

    1. 8. Use of cookies

    We use cookies and may collect cookies stored on your computer and link the collected action history with your personal information.

    1. 9. Use of your connection history (or log)

    Information about when and from where you, a user of our website, connect to it is accumulated as a connection history (or log) on our web server.
    We may use this information for the purposes specified below.
